Responsible for the direct oversight and successful management of the financial functions that support operations of numerous Divisions and programs within the Patient and Family Services Department. Facilitates multiple ongoing projects, designs and maintains multiple databases and dashboards. Responsible for identifying opportunities to improve operations and enhance efficiencies related to workflow, finances and project management. Expected to handle highly confidential and sensitive matters with utmost professionalism and respect for necessary discretion.
Works closely with the Senior Director and Manager of Operations and Strategic Communications in the development of long:range operating plan goals for the department by facilitating the strategic planning process in each division, supporting the development of business and operational models for long term success, and creating a control and evaluation process to monitor progress and achievement of the planned strategic objectives. This plan would include a thorough operational analysis. The plan will be updated on an annual basis. Directly supervises Patient and Family Services Program Coordinator and Department Secretary and is responsible for the oversight and effective operations of all administrative activities, including but not limited to purchasing/supply management, fiscal monitoring of multiple budgets, and billing operations.
Job Responsibilities 13;
:Effectively manages a budget of 11 million (+) for all units and/or programs, authorizing purchases, multiple transactions and expenses accordingly.
:Analyzes business and user needs, documents requirements, develops metrics for current state and suggest improvements for workflow.
:Facilitates budget planning process.
:Executes and monitors systems to assure systems to assure consistent and appropriate resources alignment and utilization.
:Collaborates continuously with Financial Business partner to assure financial compliance and accuracy for all program budgets and billing.
:Provides oversight of data management and billing responsibilities, including creating informed projections of anticipated budgetary changes based on departmental trends.
:Partners with department leaders to create business plans, projected expenses and implements necessary controls to ensure appropriate stewardship of resources.
:Creates and maintains a financial monitoring system for all revenue and expense activities across all programs (operating, endowment and special purpose accounts).
:Collaborates with Supply Chain and Legal to ensure partnership agreements, product selections, vendor choice and price are consistent with hospital practices/policies.
:Collaborates with Development to track and ensure appropriate allocation of donor funds.
:Responsible for managing all staff financial inquiries and requests (e.g. unit orders, conference registrations, travel requests, etc.).
:Identifies and purchases supplies and equipment for the multiple programs as needed.
Provides supervision to cross:functional support staff.
:Provides direction and supervision of the other support staff, including recognition of outstanding work and counseling/discipline of substandard work.
:Assigns administrative support duties to the other support staff in order to achieve smooth operation of all programs and problem:solves logistical challenges to ensure seamless functions.
:Assures high level of productivity, efficiency and effective customer service of administrative support staff.
:Completes annual performance appraisals and counseling and disciplinary actions for assigned staff.
