Job Summary 13;
Under the supervision of Manager, International Medical Education (IME) and Business Development, the International Medicine Coordinator will facilitate screening, onboarding, and financial clearance of international clinicians for IME programs. This position will have direct interaction with internal and external physicians and support staff.

The Coordinator will be the initial point of contact for IME inquiries and establish and maintain communication with medical divisions and candidates regarding the status of applicants. The Coordinator will provide administrative support of IME programs including maintenance of databases as well as oversight and tracking of all applications. The Coordinator will be responsible for timely clearance of IME participants and for ensuring communication of clearance to all stakeholders. This Coordinator is a key interface with international client applicants and the CHOP medical education program.

The Coordinator must be detailed oriented, understand credentialing concepts, interact courteously and competently with internal and external constituencies as well as have good independent judgement and problem solving skills.
Job Responsibilities 13;
:Addresses initial IME inquires
:Performs customer service functions by answering program requests and questions.
:Serves as a point of contact and coordinates all communication to Divisions, and with new IME candidates.
:Creates new trainee files in electronic system.
:Maintains an accurate database of all IME inquiries.
:Perform intake review of applications and supportive documents for IME
:Copy, scan and upload application documentation into customer relations management tool (Salesforce).
:Provides verbal/written communications to International Medical Education applicants/trainees requiring timely response.
:Organize and maintain International Medical Education electronic files.
:Extracts data from paper/electronic documents and enter into the customer relation management database.
:Coordinates review of application with divisions across the CHOP System
:Coordinates with internal clinical and administrative staff to review applicants for acceptance.
:Identifies divisions financial decision around program fees. Communicates with applicant fee amount and methods of payment.
:Maintains accurate updated list of divisions clinical contacts.
:Works with the divisions to address any questions about the application.
:Discusses application status with candidate in a timely fashion.
:Facilitates on:boarding, financial clearance and discharge of IME candidates
:Performs inventory of documents and identify incomplete components. Notifies candidate and assist in completion of file to maintain compliance of IME policies.
:Submits all IME applicants to criminal background search database and loads results into customer relations management system.
:Maintains all onboarding records of IME applicants, ensuring all files are uploaded into system, complete, accurate and compliant with IME policies.
:Performs verification of applicants credentials utilizing authorized sources.
:Invoices and collects program fees from IME candidates.
:Assists candidate with logistical questions (ex: housing, location, visa)
:Collaborates with medical divisions to connect the applicant to the designated point person in the division.
:Address any ongoing questions/issues while IME candidate at CHOP.
:Prepares candidate for departure from CHOP, including IME survey and Certificate.
:Provides support on other projects, as required.
:Performs document inventory audits.
:Conducts analysis of IME Survey.
:Assists with process improvement projects.
:Evaluates IME intake process on a continual basis, and makes adjustments and improvements to the program. 13;
