Job Summary 13;
The Executive Secretary II is expected to perform administrative duties of a highly complex nature. The incumbent will coordinate significant internal and external communications, projects and meetings for the Executive and other professionals in the department. Must be highly organized and able to distinguish among priority items, and plan all scheduled items in detail. Must manage difficult situations with skill, patience, and diplomacy.

Job Responsibilities 13;

Provide high:level administrative support:
:Manage the Chief Development Officers calendar, work proactively to prioritize.
:Answer telephones, route callers, take messages and provide information to callers promptly and courteously.
:Compose letters and memoranda from verbal direction, bullet points or from knowledge of department policy or procedure.
:Maintain confidential files and documentation, both paper and electronic.
:Schedule and coordinate meetings and facilities, which may include travel and lodging arrangements.
:Create and provide materials/attachments as necessary for agendas.
:Prepare presentations, excel spreadsheets, lists, and tables
:Prepare for and accompany CDO to meetings to take notes and provide support
Support work of CDO as it relates to Trustees, Foundation Board of Overseers, hospital executives, and high level donors:

:Work in coordination with the AVP of Development Operations in preparation for Board committee meetings, staff meetings, retreats, joint projects, etc.
:Interact and communicate in person, by phone, and by email with trustees, major donors, volunteers, prospects, and VIPs.
:Maintain donor/board confidentiality and exhibit discretion with confidential information.
Other duties:
:Serve as department liaison to administrative staff in Executive offices.
:Plan meetings and small events including securing a venue, ordering food, table arrangements, linens, etc.
:Coordinate work flow of student worker(s) to optimize production. 13;
Required Education and Experience 13;

:High School/GED
:Five to ten years administrative/ senior level experience, including experience supporting attorneys in a corporate or law firm environment.
:Accurate typing required.

Preferred Education, Experience and Cert/Lic 13;
Bachelors Degree preferred.

:Demonstration of good judgment, professionalism and the highest standards of ethical conduct. 13;
Additional Technical Requirements 13;
Knowledge and proficiency in Raisers Edge fundraising software preferred.
