Job Description

WingIts, the industry leader in creating solutions and providing bath accessories to the frontrunners of the Hospitality Industry is currently seeking a full-time receptionist. The ideal candidate will be experienced and able to support our Customer Service department located in beautiful Monmouth County. Must be highly organized and focused with a positive attitude and excellent communication skills. In addition to being resourceful, independent and collaborative they should have a willingness to learn and take on additional responsibilities over time. They should possess drive and skills needed to meet deadlines, handle multiple priorities and build trust and credibility with the CSR team and management. In addition to the overall administrative support of the CSR team, this person should always strive to do more by anticipating needs and proactively identifying ways to add value to our business. Support will include but is not limited to the following:

Answer and screen telephone calls; respond to routine inquiries, direct and redirect internal and external inquiries as appropriate and take and forward messages as needed.
Maintain electronic and hardcopy files in accordance with our records retention policy. Retrieve and return files to assist in research and resolution of issues relating to customer orders and returns.
Provide back-up support and coverage within the CSR department.
Manage voicemail: Setup and change outgoing message. Retrieve and direct incoming messages to appropriate parties.
Prepare and revise documents in Word, PowerPoint, and Fishbowl, maintain Outlook Calendar and Excel spreadsheets.
Maintain performance matrix for the department and prepare weekly and monthly reports
Assist the CSRs as they process orders, working closely with all departments, including Finance, Procurement and Operations.
Maintains an understanding of our policies and procedures, serving as a resource and subject matter expert for the team.
Stays current on a variety of software programs while consistently striving to develop and advance skills.
Assist in Friday lunch orders.
All other duties as required.

Required Skills:

· Self-starter, proactive with ability to juggle multiple responsibilities and reprioritize tasks based on new information or shifting deadlines.

· Exemplary demonstrated work ethic and pro-active, ‘can do’ approach

· Ability to learn quickly and take on new responsibilities.

· Must have excellent judgment; independent thinker and resourceful.

· Advanced skills in Outlook and other MS Office programs a must,

· Proficient in EDI and Fishbowl a plus.

· Strong interpersonal skills; comfortable working with people at all organizational levels and able to adapt to diverse perspectives and styles.

· Ability to work effectively under pressure, adapting to unexpected events, responding well to change.

· Polished professional with strong written and verbal communication skills and telephone etiquette.

· Ability to work independently with minimal supervision, under tight time constraints, and able to prioritize work.

· Strong knowledge of general business cultures.


· Minimum 5 years of experience as an administrative assistant.

· Ability to handle heavy phone and email communications and rapidly prioritize correctly.

· Superior proficiency in Outlook and Microsoft Office applications. Experience working with Fishbowl, Portals and EDI a plus.

· Proven ability to handle multiple responsibilities with quality results.

· Ease in working in a fast-paced environment and adapting to changing priorities.

· Able to support team locally and remotely, collaborating well with staff in different locations.

· Must take Verbal/Math Assessment and Typing Tests.
