Community FoodBank of New Jersey is in need of an Agency Relations and Programs Assistant to administer programmatic operations and to provide clerical and data entry support for Agency/Programs department. Maintains agency databases and files.

IMMEDIATE NEED! This position is 40 hours per week for approx. 2-3 months.

REPORTS TO: Director of Agency Relations and Programs

POSITION RESPONSIBILITIES:
Essential Functions
I. Maintains a positive work attitude by acting and communicating in a manner conducive to good interpersonal relations (e.g., helpful, courteous, pleasant) with customers, all public, co-workers and managers, in accordance with the spirit of CFBNJ's mission.
II. Agency Relations
A. Enters computer input and updates into CERES.
B. Processes payments and bank deposits weekly or as needed.
C. Prepares monthly statements including coordination of final deposits, invoice posting, food list production, inserts (if any); generates mailing labels and mailing.
D. Maintains CERES database.
E. Assists in generating agency alerts, fax and email blasts.
F. Assists with annual re-certification meeting.
G. Maintains agency and program files.
H. Maintains supplies of agency reporting, monitoring and other required documents.
I. Serves as a back-up to Pantry Manager.
J. Assists in facilitating agency distributions.
III. USDA/SFPP
A. Tracks and follows-up with monthly reporting.
B. Files monthly reports with Hillside office.
IV. Grants
A. Assists with CEAS, EFSP and ShopRite grants.
1. Assists in yearly grant start-up, i.e., notification and acknowledgement letters.
2. Prints and processes agency invoices.

Secondary Functions
I. Handles general inquiries, departmental correspondences, telephone, mailings.
II. Provides clerical support for special programs, events, and workshops.
III. Performs other duties as assigned within scope of the position.

ESSENTIAL SKILLS AND EXPERIENCE:
• Minimum of 3 years of relevant work experience; preferably in office management
• Self-directed with excellent organizational skills and follow-through skills with the ability to handle multiple tasks simultaneously while given attention to detail
• Must be proficient in Microsoft Word, Excel, PowerPoint and Publisher

EDUCATION:
High School graduate or equivalent.
