*Description/Job Summary*
The Administrative Assistant I will support the management of the workflow responsibilities of staff that work with youth returning from or at risk of out-of-home placement and their families. We are looking for an individual who is efficient and comfortable working as a part of team. Also, has the ability to multi-task and complete task in a timely manner. The ideal candidate for this job is resourceful, a good problem solver and organized.
*Responsibilities/Duties*
* Attend all mandatory trainings
* Manage workflow tasks related to the opening and closing of referrals
* Maintain shared database and referral tracker
* Oversee shared calendar and team scheduling
* Oversee monthly uploads and data requests
* Manage new hire orientation
* Generate memos, emails, and reports when appropriate
* Assume responsibility for maintenance of office equipment, including computers, copy and fax machine
* Maintain proper office supply inventory and purchasing
* Answer incoming calls and assume receptionist duties
* Respond to questions and requests for information
* Other non-essential duties as specified by the immediate supervisor
* Required Skills*
* Administrative assistant experience
* Familiar with child-serving systems such as:/ Community Behavior Health (CBH); Department of Human Services (DHS); School District of Philadelphia/
* Ability to develop, manage and maintain relationships with others
* Strong communication skills
* Excellent documentation skills
* Highly detail-oriented and organized
* Strong time management skills
* Flexible in adapting the weekly schedule to meet the needs of the team
* Required Experience*
2+ years as an Administrative Assistant or Admistrative Support Staff
*Required Education*
Possess a High School Diploma or GED
*Preferred Education*
Completion of a Post-Secondary education program
*Required Qualifications*
* Valid clearances including Criminal Record, Child Abuse and FBI
